Hartley House Dance Club and the General Date Protection Regulations

GDPR stands for General Data Protection Regulation and replaces the previous Data Protection. It was approved by the EU Parliament in 2016 and comes into effect on 25th May 2018. GDPR states that personal data should be ‘processed fairly & lawfully’ and ‘collected for specified, explicit and legitimate purposes’ and that individuals data is not processed without their knowledge and are only processed with their ‘explicit’ consent. GDPR covers personal data relating to individuals. Hartley House Dance Club is committed to protecting the rights and freedoms of individuals with respect to the processing of children's, parents, visitors and staff personal data. The Data Protection Act gives individuals the right to know what information is held about them. It provides a framework to ensure that personal information is handled properly. 

What we do at Hartley House Dance Club 

We do not disclose (other than to Official Examination bodies) or sell personal data to third parties. 

HHDC will be complying with the NHS TRACK & TRACE system, however it is optional for HHDC students/parents to opt out of this. 

We do not disclose personal data to other members of the School and their families. 

The School uses contact numbers for communication with and updates to parents, whole school and individual communication. 

Emergency Parent contact numbers are given to Hartley House Dance Club for the use of emergency contact & for contact in respect of Dance School business only. 

The HHDC Portal - Class Manager takes the privacy and security of individuals and their personal information very seriously and take every reasonable measure and precaution to protect and secure the personal data that they process. They have robust information security policies and procedures in place to protect personal information from unauthorised access, alteration, disclosure or destruction and have several layers of security measures, including, not limited to: -

  • Always On SSL
  • Strict Password Policy
  • Access Controls

 

Paper registration forms are stored in a secured filing cabinet. 

Hard copy information is destroyed by a shredding device when a student no longer attends Hartley HouseDance Club. 

Information about individual student is used in certain documents, such as, a weekly register, medication information and examination documentation. These documents include data such as student's names, date of birth and emergency contact numbers. 

No names are stored with images in photo albums, displays, on the website or on Hartley House Dance Club social media sites without express permission from a parent. 

Access to the Website, Portal System  Personal Data, Social Media Accounts and Examination Details is password protected and is not available to members of the Public, or members of the School. 

HHDC staff (Linda & Maryam) have sole access to the data and portal system. The portal system is password protected and any hard copies of data are securley stored.
